Comment-to-DM for local service businesses: quotes on the job

By , founder of Chat338 min read
Title card: How can local service businesses get quote requests while they're on the job?

If you lay patios, fix boilers, clean carpets or paint houses, your best marketing is a finished job. You post the before and after, people love it, and the comments fill up with "how much would this cost?". The trouble is when those comments arrive: while you are on your knees, on a roof, or covered in grout.

By the time you answer that evening, the person has messaged two other companies. The first one to give them a straight answer usually gets the job.

This guide shows how comment-to-DM gives that first answer for you, collects the details you would ask for anyway, and leaves the actual quote, the scheduling and anything tricky to you.

In short:

  • The first reply to a quote request is almost always the same: a rough starting price and "send me some details".
  • A keyword like QUOTE, or the service itself, triggers a DM with exactly that.
  • The DM asks for photos, the area and a rough date, all in one message.
  • You reply with a real quote when you are off the job. The final price, scheduling and complaints stay personal.

Why quote requests get lost

Picture the usual chain. Someone comments "price for this?" at 11 in the morning. You see it at 7 in the evening and write "depends, can you send a photo?". They answer the next day while you are on another site. Three days in, they have booked someone who replied faster.

The quality of your work was never the issue. The first reply was slow, and it did not move anything forward. Comment-to-DM fixes both: the reply is instant, and it asks for everything at once.

How the flow works

  1. Post a finished job: a before and after, or a short video walking through it.
  2. Put the instruction in the first line of the caption: "Comment PATIO and I'll DM you prices and what I need for a free quote."
  3. The DM goes out within seconds, with a starting price and a request for photos, location and timing.
  4. A public reply on the comment tells them to check their messages.
  5. The contact is tagged by service.
  6. That evening, you open one inbox and every request already has the details you need.

The automation does not quote for you. It collects what you would have asked for, so your evening reply can be an actual price instead of another question.

Choosing the keyword

  • QUOTE is the clearest and works for any service.
  • The service itself works when you offer several: PATIO, BOILER, CARPET, ROOF, DECK. As a bonus, you know what each person wants before you read their message.
  • PRICE suits fixed packages, like an end-of-tenancy clean for a one-bedroom flat.

Keywords match anywhere in a comment and ignore case, so avoid ordinary words. GARDEN fires on "what a lovely garden!", which is a compliment, not a request. Keyword examples by industry has more on picking words that do not misfire.

Writing the first DM

On Instagram, one comment allows one private reply until the person writes back, and the flow does not wait for an answer. So the first DM has to give a starting point and ask for everything you need in the same message.

On Instagram comments, {{first_name}} reads "there", because Instagram shares only the commenter's handle.

Starting price and photos

Hi {{first_name}}, patios like this usually start around $4,000, depending on size and stone.
Send me 2 or 3 photos of the space and your area, and I'll come back with an exact quote.

Fixed package

Hi {{first_name}}, a full carpet clean for a one-bedroom flat is $140.
Which area are you in, and what date suits you?

Free visit

Hi {{first_name}}, every boiler job is different, so I quote after a free visit.
Which part of town are you in, and when would a visit work?

Each one gives an answer, then asks for the one thing that moves the job forward. Nobody is left wondering "so what now?".

Weak first replyStrong first reply
"DM me for prices"A starting price in the first line
"Depends, send a photo"Photos, area and timing asked in one message
Asking for details one at a timeEverything you need, once
"I'll get back to you" with no timeA reply time you can actually keep

Copy-paste setup: a patio and paving business

Caption: Same garden, three days apart. Comment PATIO and I'll DM you prices and what I need for a free quote.
Trigger: Comment keyword "PATIO", on this post only
First DM: Hi {{first_name}}, patios like this one usually start around $4,000,
stone and groundwork included. Send me a photo of your space and
roughly how big it is, and I'll reply with an exact price within a day.
               Something urgent? Call 555 0142.
Public reply: "Sent you the details"
               "Check your DMs, {{username}}"
               "Prices are in your inbox"
Tag: PATIO quote

Someone sends two photos and "about 25 square metres". The conversation is open now, so that evening you reply with an exact price and two possible start dates, without asking a single extra question.

Only promise a reply time you will keep every time. "Exact price tonight" sounds great until the week you are working late four nights in a row. If you cannot guarantee it, write "within a day or two". An honest promise kept beats a fast one broken.

Facebook and other platforms

For many local businesses, the Facebook Page matters as much as Instagram, especially when neighbours share posts in local groups. Comment-to-DM also works on Facebook Pages, under the same one-reply rule, so use the same keyword on both. Replies from both land in the same inbox.

TikTok and YouTube have no DM automation. If your videos do well there, point viewers to your Instagram or Facebook in the description and answer those comments yourself.

What stays personal

  • The final price. A starting price is fine to automate. The exact quote is yours, after you have seen the photos.
  • Scheduling around other jobs, unless you use a booking tool that knows your calendar.
  • Complaints about a finished job. Always personal, always quick.
  • Emergencies. Someone writing "water is coming through the ceiling" needs a person now. That is why the setup above includes a phone number for urgent cases.

Price pushback also deserves a human touch. Handling "too expensive" in DMs has replies that keep the conversation going without discounting.

Following up on quotes

Tag contacts by service and stage: PATIO quote, then photos received, then quote sent. Filter by the stage tag when you sit down to follow up.

A few days after sending a quote, one short line from you while the conversation is still open: "Any questions about the quote? I have a free slot next week if it helps." Plenty of quotes go quiet because people get busy, not because they said no. Messaging rules limit how long after someone's last message you can still write, so do not leave it too long. Follow-up after an automated DM covers timing and wording.

FAQ

Will automated replies make my business look less personal?

Not if the DM answers the question and you write the quote yourself. People mind slow or vague answers far more than fast ones. The automation handles the "how much, roughly?" part so your personal reply can be the useful one.

Can I send the quote as a PDF in the first message?

Put a link to it in the text. The first reply to a comment has to be plain text, so photos and attachments wait until the person writes back.

What if someone asks about a service I don't offer?

Answer it yourself from the inbox. For DMs that match no keyword, a default reply can list the services you do offer. Instagram auto-reply explains how a default reply works.

The short version

Local service businesses lose quote requests because the first reply comes too late. Use one keyword per service, send a DM with a starting price and a request for photos, area and timing, and write the exact quote yourself once you are off the job. Tag every contact by service and stage, and follow up personally. To get started, compare the plans, or read the course waitlist guide for another way to collect interest before you sell.
