That silence is rarely a no. People get distracted, wait for payday, check with a partner, or open three other tabs. A short, well-timed message from you can pick the thread back up. A clumsy one can make them mute you.

This article is about that second message: when you are allowed to send it, who should write it, and what it should say. One thing up front, because it shapes everything else: the follow-up is not something to hand to the automation.

Every follow-up should bring exactly one thing the first message did not. Four kinds work well:

  1. A new view. A photo or a short clip that answers questions people do not bother to ask: size, colour, texture, how it looks in use.
  2. A missing detail. Delivery time, gift wrapping, a size option, what is included.
  3. The likely doubt, answered. The objection most people have, addressed before they raise it.
  4. A way out. Telling someone it is fine to say no lowers the pressure, and people often answer honestly once they are allowed to decline.

A full example: from caption to follow-up

A small ceramics studio selling hand-glazed mugs:

How to know who to follow up with

You cannot write personal notes to everyone who ever commented, and you do not need to. Once a day, open the inbox and look at the people who replied and then stopped. Those are your follow-ups.
