Instagram DM automation for salons: fill empty slots fast

A cancelled appointment at 10 in the morning leaves a gap at 2 in the afternoon. You post it to Instagram between clients, someone asks "how much?" a few minutes later, and you finally see the comment after closing. The slot passed hours ago.
That is the core problem for salons on Instagram. The demand is there, the timing is not. Your hands are busy with the person in the chair, which is exactly where they should be, and the question in the comments needs an answer within minutes. The good news is that the answer is almost always the same: here are the times, here is the price, here is how to book.
Questions with the same answer every time are what DM automation does well. This article shows a simple setup for nail, brow, lash, hair and skin studios.
In short:
- A free slot is a perishable product. It needs an instant answer.
- Post the times, ask for one keyword, and let the DM send times, price and the booking link.
- The DM ends with "which time suits you?", not "let us know if you're interested".
- Stories can run the same offer through a story reply trigger.
- Complex prices, allergies and complaints stay with you.
The setup in five steps
- Post the open slots: a photo of your work with the times written on the image.
- Open the caption with the ask: "Two openings tomorrow. Comment BOOK and I'll DM you the times."
- The DM sends the times, the price, the booking link, and a question.
- A public reply under the comment shows everyone the offer is real.
- The contact gets a tag, so you know what they asked about.
If you have never set up a comment flow, the steps below are all you need.
Choosing a keyword
BOOK is the clearest choice. Everyone understands what happens after they type it. A few alternatives for specific posts:
SLOTfor last-minute openingsMENUfor your full service and price listBROWS,LASHESorNAILSwhen you offer several services and want to know which one each person meansWINTERor another seasonal word for a limited treatment
Using a different keyword per service gives you something for free: the tag on each contact tells you which treatment they want, without you having to ask. For more ideas, see comment keyword examples by industry.
What the DM has to contain
On Instagram, a comment lets you send one private reply until the person writes back. So the first DM must already hold everything someone needs to book: the times, the price, the link and a question. A second message in the same flow will not reach them unless they already had a chat open with you.
Write the link into the text. A first reply to a comment is sent as plain text, so a booking button there would not appear as a button anyway.
Open slots:
Hey
{{first_name}}! Tomorrow I have 10:30 and 16:00 free. Brow lamination is $55 and takes about 45 minutes. Which time should I hold for you? Or book directly:https://yourstudio.com/book
Service menu:
Hey
{{first_name}}, here's the full menu with prices:https://yourstudio.com/menu. Which treatment are you thinking of? Tell me and I'll send this week's free times.
Seasonal offer:
Hey
{{first_name}}! The winter hydration facial is $70 until the end of the month. Free times this week are here:https://yourstudio.com/book. Want me to suggest one?
On Instagram comment DMs, {{first_name}} turns into "there", because Instagram only shares the commenter's handle. "Hey there!" reads fine for a salon, so the templates work either way.
| Weak DM | Strong DM |
|---|---|
| "Thanks for your interest! Let us know if you'd like to book." | "Tomorrow I have 10:30 and 16:00. Which one should I hold?" |
| "Check our website for prices." | "Brow lamination is $55, about 45 minutes." |
| "DM us for availability." | "Book directly: https://yourstudio.com/book" |
The weak column hands the work back to the customer. The strong column gives them two options and asks them to pick, which is far easier to answer. There is more on that structure in sales DM templates.
The flow does not wait for "16:00 please". It sends the first DM and finishes. When the customer replies with a time, that message lands in your inbox and you confirm it yourself, or they book through the link without you at all.
A complete example: a brow and lash studio
- Image: a close-up of fresh brows with "Tomorrow: 10:30 · 16:00" on it
- Caption, first line: "Two spots just opened for tomorrow. Comment BOOK and I'll send you the details."
- Comment: "BOOK"
- DM: "Hey there! Tomorrow I have 10:30 and 16:00. Brow lamination is $55, about 45 minutes. Which one works for you? You can also book here:
https://yourstudio.com/book" - Public replies (one picked at random): "Sent, check your DMs!", "Times are in your inbox", "Just messaged you the details"
- Tag:
book-brows
The customer answers "16:00!". Between two clients, you type one line back: "Booked, see you at four."
Those rotating public replies do more than they seem to. Other people scrolling the comments see a row of "Sent!" replies and realise they can get the times the same way.
Copy-paste setup
Flow: comment trigger
Keyword: BOOK (only on this post)
First DM: Hey {{first_name}}! Tomorrow I have 10:30 and 16:00 free.
Brow lamination is $55, about 45 minutes.
Which time should I hold for you? Or book here:
https://yourstudio.com/book
Public replies: "Sent, check your DMs {{username}}!"
"Times are in your inbox, {{username}}"
"Just messaged you the details"
"Check your DMs, the slots go fast"
Tag: book-brows
Remember to change the times in the DM when you reuse the flow for the next opening, or point it at a fresh post.
Stories for last-minute gaps
Stories are where many salons post same-day openings, and they work well with automation. Add a story reply trigger with the same keyword:
"Free today at 15:00. Reply BOOK for the link."
A story reply is a DM from the start, so the chat is open right away and the first automated message can include a proper booking button. Story reply triggers are set up separately from comment triggers, but they can send the same answer. The details are in story reply automation.
For people who message you directly with "any free times this week?", a DM keyword trigger on BOOK covers them too. Comments, stories and direct messages all end in the same complete answer.
What stays human
Some questions look like they have a standard answer, but they do not:
- Price for complex work. Colour correction, extensions, a full restyle. The DM can say "send me a photo and I'll give you an exact price", and then you take over.
- Allergies, sensitive skin, pregnancy. These need a careful person, never a template.
- Complaints about a past visit. Always you, always personal.
- Reschedules and cancellations, if your booking system does not handle them.
Let the automation take the question you answer twenty times a week in identical words. Everything else gets your full attention, and you will have more of it to give.
Following up with people who did not book
Tag every contact by keyword and service. Next time a slot opens, you know who asked about brows last week and did not book.
If they wrote to you recently and the chat is still open, a single personal line works: "Hi, a 14:00 just opened tomorrow. Want it?" Write it yourself. People who never replied to the first DM are best reached through your next post, not chased in the inbox. Following up after an automated DM covers this in more depth.
Mistakes salons make
- Posting free slots without saying how to claim them
- A DM that says "see our website" instead of naming the times
- Using PRICE for every service, so the tag tells you nothing
- Answering allergy or medical questions with a template
- Skipping tags, so every follow-up starts with scrolling
FAQ
Can the DM book the appointment automatically?
The DM sends your booking link, and your booking system handles the rest. If the person replies with a time instead, you confirm it in the inbox.
Does this work for Facebook as well?
Yes, comment-to-DM also works on Facebook Pages, and those chats appear in the same inbox as Instagram. Most salons get more comments on Instagram, so start there.
What if two people want the same slot?
The DM goes to both, and whoever books through the link or replies first gets it. Reply to the second person yourself with the next free time.
Do I need a business account?
You need an Instagram professional account, either business or creator. Business vs creator accounts explains the difference.
Summary
Empty slots go unfilled because the answer arrives too late, not because nobody wants them. Post the times, ask for one keyword, and send a complete DM with times, price, link and a "which time suits you?" question. Use story replies for same-day gaps, tag every contact, and keep complex prices, allergies and complaints personal. To try it on your next opening, check the plans, starting with the free one.
